Salary: $100,000 - $120,000 depending on experience

The Executive Co-Director: Culture, Planning & Green Business Development will provide planning, direction, and oversight for Green America’s work regarding: 1) Culture: Lead (a) the continuing integration of Green America’s JEDI (Justice, Equity, Diversity, & Inclusion) commitments into all facets of the organization’s work and culture, and (b) the evolving nature of team building in a virtual organization; 2) Planning: with the Executive Team, drive annual planning processes for Green America’s programmatic work and budget, 3) Green Business: with Green America’s Green Business Network of companies and entrepreneurs seeking to advance corporate social and environmental responsibility, help build the green business sector.

The Executive Co-Director of Culture, Planning & Green Business Development works closely with the Executive Co-Director: Consumer and Corporate Engagement to ensure that programs and processes are integrated across the organization, and both Executive Co-Directors will work closely with the President & CEO to ensure that the organization is on track to meet all of its programmatic, financial, and organizational goals.  Together, the Executive Co-Directors and the CEO form the Executive Team (E-team) for the organization.  Like the teams across the organization and the board, the E-team is highly collaborative.

This position supervises Green America’s Director of Development & Organizational Advancement, Finance Director, Green Business Network Director, Executive Associate (with the CEO), and HR Director (with the Executive Co-Director of Consumer and Corporate Engagement).

Leadership responsibilities include:

CULTURE

  1. Deepening our Justice, Equity, Diversity & Inclusion (JEDI) Work   
  • Co-chair Green America’s staff and board member JEDI Team.
  • Ensure Green America’s JEDI work and culture are integrated into all programs and new staff and board member orientations.
  1. Creating a Strong Culture as a Newly Virtual Organization   
  • Develop activities, programs, and processes that build relationships among staff members in a virtual context and oversee the planning of annual, in-person staff and board member gatherings.
  • Oversee Green America Worker Membership, ensuring that volunteer roles are filled, agendas developed, and Worker Members are encouraged to take initiative to contribute to building a strong, positive Green America culture.

PLANNING & ORGANIZATIONAL OPERATIONS

  1. Executive Team (E-Team) and Cross-Organizational Integration
  • Work with the executive team to ensure smooth functioning across the organization, and that the organization is on track with its financial and programmatic goals. 
  • Lead processes to ensure timely and well-run staff meetings, operating plan meetings, budget meetings, the annual staff gathering, and retreats as needed.
  1.  Development:  Oversight & Fundraising
  • Work with the Director of Development & Organizational Advancement to continue building strong development strategies.
  • Through major donor visits and other approaches, raise funds and cultivate donors.
  1. Finance: Oversight
  • Work with the Finance Director and CEO on organizational financial needs and fiscal management, including the timely development of budgets, financials statements, audits, and tax forms.
  • Ensure that Green America funds are invested following our social and environmental screening criteria, including serving on the Green America Endowment Executive Committee.
  1. Board
  • Serve as the Executive Team Lead to the board.

GREEN BUSINESS NETWORK (GBN)

  1.  GBN: Oversight and Development
  • Oversee the Green Business Network Director to develop new programs and opportunities, ensure programmatic and fundraising goals are met. Monitor progress throughout the year.

This position plays a crucial role in the organization by assisting the Executive Team (the President/CEO and the two Executive Co-directors). The Executive Team is responsible for managing the organization in coordination with department directors and the board of directors.

 

Responsibilities:

The primary responsibility is to assist the CEO/President and Executive Co-Directors in their duties.  Tasks will vary from week to week and include the following:

  • Travel: (when safe to do so). Book travel arrangements for the CEO/President, use loyalty programs and credit card points to save costs.  Travel includes – Flights, buses, trains, hotels, rental cars, taxies and directions. Register CEO/President for needed conferences, submit and follow up on reimbursements requests for travel appearances where appropriate. Change travel arrangements when weather and schedule necessitate, working to get refunds and travel credit whenever possible. Work with the Development Department to schedule meetings with local donors well in advance of the trip.
  • Expenses: Collect the CEO/President’s receipts and code them each month; process reimbursements as needed.
  • Reports: Help the Executive Team with the development and finalization of board reports and Operating Plan reports.  This includes collecting information from different departments and committees, doing report lay-out, and editing final drafts in Microsoft Word or Power point.
  • Staff/Board Meetings: Schedule all-staff meetings and board meetings (virtual and physical, when in-person meetings are possible again); provide online access. Organize and coordinate logistics, including renting meeting rooms and planning meals as needed.
  • Scheduling: Primary responsibility for managing and updating the CEO/President’s schedule. Work with external individuals (and their executive assistants) to schedule appointments for the CEO/President.  This includes keeping track of the CEO/President’s external board, travel, and personal commitments and getting the appointments on the calendar, noting time zone differences.
  • Executive Communications: Answer questions about the CEO/President’s calendar and availability. Follow-up on correspondence. Rapidly flag any key issues to the executive team. Maintain CEO-related documents.
  • Development: Work with the Development Team to schedule meetings between the CEO/President and major donors accordingly.
  • Board: Serve as a board liaison. Work with the CEO/President and the Executive Co-directors to schedule and organize board meetings, organize board documents, prepare for all meetings, including renting space and catering as needed. Collect conflict of interest statements annually. Keep Board of Directors Contact Sheet updated. Submit reimbursement requests for board member travel expenses. Answer questions from board members.
  • New Hires: Create and manage job postings for all new positions. Research job announcement platforms to ensure openings are seen by diverse applicants. Upon hiring, remove job postings. Add or remove staff credit cards as needed.
  • Staff Anniversaries, Special Acknowledgements: Using online platforms, create digital acknowledgements to express thanks, or other messages as needed.
  • Organizational Culture: Organize events for interns and help coordinate staff "fun" days.
  • Administrative Support as Needed: Provide administrative support as needed and as approved by the executive team.
  • Special Projects: Support special projects as approved by the executive team.

 

Responsibilities of all Green America Staff

  • Participate in general staff meetings, the annual Operating Plan & Budget process.
  • Serve on special teams or committees as time permits.
  • Other duties as time permits.

Our Center for Sustainability Solutions brings together diverse stakeholders along entire supply chains to solve complex sustainability problems that no single business, organization, or leader can solve alone. 

 

We organize our national network of 250,000+ consumer activists, 2,000 Green Business Network members, and our growing list of corporate and supply chain partners around four core issue areas: 1) Safe Food & Sustainable Agriculture, 2) Clean Energy & Climate Action, 3) Fair Labor & Social Justice, and 4) Responsible Finance & Better Banking. 
 

Duties and Responsibilities:

Accounts Payable

  • Process vendor invoices, employee travel reimbursements and other check requests and make payments via check and ACH.
  • Insure that there are funds in the appropriate bank account to cover all required vendor payments
  • Maintain the vendor file in Intacct including the Tax ID information (W9 or W8) and 1099 status for all vendors.
  • Prepare and issue Form 1099 to all appropriate vendors.
  • Reconcile the General Ledger Accounts Payable balance with the Accounts Payable sub ledger and Vendor Aging report.
  • Maintain AP related forms and update as needed due to changes in the chart of accounts or department codes. 
  • Review monthly bank reconciliations, verify that checks clear in a reasonable time frame and perform research as needed.

 

 

Payroll

  • Enter employee information into the payroll system and process payroll on the scheduled dates.
  • Review payroll reports and pay checks/stubs to verify that the payroll was processed accurately.
  • Prepare journal entries to record all payroll related activity.
  • Setup, process and monitor all payments to payroll related vendors (Metro, retirement, etc.) and tax agencies in a timely and accurate manner.
  • Insure that there are funds in the appropriate bank account to cover all required payroll and related payments.
  • Reconcile all relevant GL account balances with payroll and related reports.  Insure that all balance sheet and expense accounts match the payroll reports and create subsidiary Excel schedules when needed.

 

Revenue Journal Entries

  • Obtain the necessary transaction source for all revenue related entries (cash based) and make the required journal entries into the accounting system.

 

Cash Management

  • Monitor cash accounts and request transfers between accounts as needed so that payroll, accounts payable and other payments, including checks, ACH and wire transfers are fully funded.
  • Prepare any intra-GA cash transfer entries and record in Intacct.
  • Assist in the preparation of the monthly bank reconciliations, as needed.

 

Miscellaneous

  • Work with Green America’s external auditors on the annual audit and tax return.
  • Ability to work with and maintain confidential and sensitive information.

  • You have a solid understanding of accounting software, online banking, payroll software, and the Microsoft Office suite of software, and how to best use those tools to get the job done.

 

Qualified Candidates should have:

  • Bachelor’s Degree in Accounting, or equivalent combination of education and experience
  • Minimum of 3-5 years work experience in each of the job duties listed
  • Outstanding references

Hours of Work:

  • 9:00 to 5:00, Monday through Thursday, and some evenings and weekends as needed.  No telecommuting.
